Chemical Engineering Department and the Stanford Wearable Electronics (eWEAR) Initiative, seek an Administrative Associate to provide both administrative and operational support to our faculty and students, but also provide support to the eWEAR affiliates program under general supervision. You are reporting to the Executive Assistant and the Director of Finance and Operations in the Department of Chemical Engineering.Also, you will report to the Executive Director of the eWEAR affiliates program. This position is critical in supporting our mission: to seek solutions to significant global problems and educate leaders who will make the world a better place. Your responsibilities include:
Respond to inquiries and determine and take appropriate action as required. Serve as a resource regarding a defined set of policies and procedures.
Perform duties associated with scheduling, organizing, and operating conferences, seminars, and events, including recommending vendors for services, overseeing the production and distribution of materials, coordinating logistics, and serving as liaison with internal and external vendors.
Draft and/or generate routine communications; coordinate production (editing, formatting, copying, etc.) and dissemination of documents, such as presentations, course handouts, grant proposals, conference and seminar materials, complex reports, brochures, and displays.
Plan and schedule calendar(s) based on consultation, resolve calendaring conflicts and arrange travel in compliance with unit, university, and sponsor policies.
Process and monitor routine financial transactions, which may include researching and resolving discrepancies.
Maintain office supplies and equipment; obtain vendor quotations, as needed. Coordinate office moves.
May serve as the point of contact for general maintenance, health and safety, and other facility concerns within the unit(s); report any incidents or potential safety problems to appropriate representatives. Track completion of required training.
Support the design, planning, implementation, and coordination of events.
Contribute to vendor and site selection, arrangements, and scheduling.
Coordinate event registration and confirmations.
Process purchase requisitions and invoices; track expenses.
Coordinate facility, exhibit set-up, equipment, and catering requirements. Provide on-site support, such as check-ins, directions, equipment set-up, and event parking.
Run database lists, and communicate registration status, reports, and data.

A high school diploma and three years of administrative experience, or combination of education and relevant experience.
Proficient computer skills and demonstrated experience with office software and email applications.
Demonstrated success in following through and completing routine tasks.

Strong verbal and written communication skills.
Excellent customer service and interpersonal skills across all levels of the organization.
Ability to prioritize and multi-task.
In addition, preferred requirements include:
An Associate or Bachelor's Degree
MS Office, Outlook, and Box experience
Advanced MS Word skills
Experience updating websites in Wordpress or other platforms
The planning and execution of conferences and business dinner events.
Provide guidance to extended project teams, including conference services
